It\u2019s simple, functional and ubiquitous.<\/p>\n\n\n\n<p>It\u2019s so reliable\u2014and has so many capabilities\u2014that I still use it even after newer, fancier challengers have emerged. I\u2019m not alone. Google\u2019s suite surpassed Microsoft\u2019s in 2023 global market share, according to <a href=\"https:\/\/www.statista.com\/statistics\/983299\/worldwide-market-share-of-office-productivity-software\/\">Statista<\/a>. Read on for the GDocs features I find most useful.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Save time on your documents \ud83d\udd70\ufe0f<\/h4>\n\n\n\n<p><strong>1. Create a new doc instantly<\/strong><br>Type <strong>doc.new<\/strong> in your browser\u2019s address bar and you\u2019ll have a new document. This works in Chrome, Firefox, Safari, and <a href=\"https:\/\/wondertools.substack.com\/p\/arc\">Arc<\/a>.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Bonus: You can also type sheet.new, slide.new, form.new, site.new, drawing.new, or cal.new to create instant Google spreadsheets, slides, forms, sites, drawings or calendar events. (From Jared: Typing note.new also works for Google Keep.)<\/li>\n<\/ul>\n\n\n\n<p><strong>2. Translate your text automatically<\/strong><br>Share your doc in another language. Your original is preserved, but GDocs creates a translated copy. It\u2019s not human quality, but it\u2019s good enough to convey the gist of your message.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>How:<\/strong> Go to _Tools &gt; Translate document.<\/li>\n\n\n\n<li><strong>Note<\/strong>: For a good translation alternative, try <a href=\"https:\/\/www.deepl.com\/translator\">DeepL<\/a>.<\/li>\n<\/ul>\n\n\n\n<p><strong>3. Add a table of contents<\/strong><br>For long documents, add a clickable outline at the top to make it easy to jump immediately down to any section.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>How:<\/strong> Go to <em>Insert &gt; Table of Contents<\/em><\/li>\n<\/ul>\n\n\n\n<p><strong>4. Display a live word count<\/strong><br>Show a persistent count at the bottom left of your editing window.&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>How:<\/strong> Go to <em>Tools &gt; Word count<\/em>\u2014or type Command+Shift+C\u2014and check the box for <em>\u201cDisplay word count while typing.\u201d<\/em><\/li>\n<\/ul>\n\n\n\n<p><strong>5. Type with your voice<\/strong><br>This works well when you\u2019re tired of typing. Instead of facing a blank page, think out loud, then edit your dictated draft.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>How:<\/strong> Go to <em>Tools &gt; Voice typing<\/em><\/li>\n<\/ul>\n\n\n\n<p><strong>6. Type @ to quickly add elements to your doc<\/strong><br>This new feature lets you more quickly add checklists, numbered lists,&nbsp;and bulleted lists. Add email drafts and project trackers inside your doc<\/strong><br>Inspired by Notion &amp; Coda, GDocs now lets you insert \u201cbuilding blocks.\u201d These include mini-templates for meeting notes and tracking content. For instance, one block lets you create an email draft. You can collaborate on it in a doc, then send in Gmail.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>How:<\/strong> Type @ and choose the block you want.<\/li>\n<\/ul>\n\n\n\n<h4 class=\"wp-block-heading\">Improve your doc\u2019s appearance \ud83c\udfa8<\/h4>\n\n\n\n<p><strong>8.<\/strong> <strong>Add a gif to show how something works<\/strong><br>Gifs are a nice way to get around not being able to embed videos in a doc. <strong><a href=\"https:\/\/wondertools.substack.com\/p\/giphy\">Make gifs with Giphy<\/a><\/strong> or use <a href=\"https:\/\/zight.com\/\">Zight<\/a> to record a screen capture as a gif.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>How:<\/strong> Go to <em>Insert &gt; Image<\/em> and select your gif to add it to your doc.<\/li>\n\n\n\n<li><strong>See it in action:<\/strong> Visit my \ud83d\udc08 <a href=\"https:\/\/docs.google.com\/document\/d\/1CsNCiFk_fLUFIHFau5woc2wcljGBt0BdO0Q2wcTicaw\/edit?usp=sharing\">cat jibberish public doc<\/a>. \ud83d\udc31<\/li>\n<\/ul>\n\n\n\n<p><strong>9.<\/strong> <strong>Create a highlighter effect<\/strong><br>Make important text stand out by adding a color to it.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>How:<\/strong> Select text, click the highlighter button &amp; pick bright yellow, as in the <a href=\"https:\/\/www.dropbox.com\/s\/o9g2k9u9w27s1vl\/https%253a%252f%252fbucketeer-e05bbc84-baa3-437e-9518-adb32be77984.s3.amazonaws.com%252fpublic%252fimages%252ffa58796b-2fe7-4045-a268-a31858784f5b_800x319%20%281%29.gif?dl=0\">gif<\/a> above.<\/li>\n<\/ul>\n\n\n\n<p><strong>10. Use bigger fonts<\/strong><br>Bigger text is easier to read. People will appreciate the readability of your docs. Use size 14 if you can get away with it. Look at the second page of the <a href=\"https:\/\/docs.google.com\/document\/d\/1CsNCiFk_fLUFIHFau5woc2wcljGBt0BdO0Q2wcTicaw\/edit?usp=sharing\">cat jibberish doc<\/a> to see the difference a larger font makes.<\/p>\n\n\n\n<p><strong>11.<\/strong> <strong>Try Georgia, Raleway, Proxima Nova or Oswald<\/strong><br>These fonts are easy to read, elegant and professional. Tip: Use <a href=\"https:\/\/www.myfonts.com\/pages\/whatthefont\">WhatTheFont<\/a> or <a href=\"https:\/\/www.whatfontis.com\/\">WhatFontIs<\/a> to identify nice-looking fonts on other sites.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>How:<\/strong> For more font options in GDocs, click the font button on the tool palette and then <em>More fonts<\/em> to add alternatives. To learn more &amp; try out styles: <a href=\"https:\/\/fonts.google.com\/\">Google Fonts<\/a>.<\/li>\n<\/ul>\n\n\n\n<p><strong>12. Break text into sections<\/strong><br>Use horizontal line breaks to clean up long docs.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>How<\/strong>: Use <em>Insert &gt; Horizontal line<\/em><\/li>\n<\/ul>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>Alternatives \u2728<\/strong><\/h4>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Google Docs isn\u2019t as powerful as <a href=\"https:\/\/wondertools.substack.com\/p\/wonder-tools-notion-the-everything\">Notion<\/a> or <a href=\"https:\/\/coda.io\/?r=e7VbjYfZRMOzD9V1di7sSQ\">Coda<\/a>, which to me was <a href=\"https:\/\/wondertools.substack.com\/p\/coda\">the underrated tool of 2023<\/a>. Notion &amp; Coda both enable embedded media, interactive tables and more.<\/li>\n\n\n\n<li>GDocs isn\u2019t as well-designed as <a href=\"https:\/\/wondertools.substack.com\/p\/craft?s=w\">Craft<\/a>, which I love using to make handouts. With Craft you can tuck content inside elegant visual cards, streamlining pages.<\/li>\n\n\n\n<li>GDocs lacks many of the AI features of <a href=\"https:\/\/lex.page\/?ref=jeremycaplan\">Lex<\/a> or other AI-enhanced editors. Lex suggests titles for your writing and gives you feedback.<\/li>\n\n\n\n<li>GDocs doesn\u2019t have organizational features for managing bigger projects. For your magnum opus, try <a href=\"https:\/\/www.literatureandlatte.com\/scrivener-affiliate.html?fpr=jeremy35\">Scrivener<\/a>. (Read my post about how it helps <a href=\"https:\/\/wondertools.substack.com\/p\/scrivener\">keep writing projects organized<\/a>).<\/li>\n<\/ul>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>A Simple Option \ud83c\udf31<\/strong><\/h4>\n\n\n\n<p>If you\u2019re easily distracted by menus and options, consider <a href=\"https:\/\/bear.app\/\">Bear<\/a>, <a href=\"https:\/\/ulysses.app\/\">Ulysses<\/a>, or <a href=\"https:\/\/ia.net\/writer\">iA Writer<\/a>. My favorite streamlined app for deep-focus: iA Writer. It works for macOS, iOS, Windows &amp; Android. I find it to be <strong><a href=\"https:\/\/wondertools.substack.com\/p\/the-worlds-simplest-writing-software\">the simplest way to write<\/a><\/strong>.<\/p>\n\n\n\n<p>Other clean, simple apps for writing include <a href=\"http:\/\/calmlywriter.com\/\">Calmly Writer<\/a> and <a href=\"https:\/\/getdrafts.com\/\">Drafts<\/a>. Each offers a minimalist interface to help you focus more on writing than on tinkering.
